This policy explains how Qavren processes customer data and uses AI-enabled functionality within its platform and services.

Purpose of processing
Qavren processes customer data to provide AI-orchestrated ERP implementation support. This may include:
- Processing workshop transcripts, questionnaires, and reference documents.
- Generating structured requirements and user stories.
- Drafting acceptance criteria and clarification questions.
- Supporting fit-gap analysis against standard ERP capability.
- Producing structured outputs for review and approval.
- Preparing artefacts for delivery tools such as Azure DevOps.
Customer control
Customers remain responsible for determining what data is uploaded to Qavren and who is authorised to access, review, approve, or export outputs.
Qavren acts according to the customer agreement, deployment model, and agreed processing instructions.
AI-generated outputs
AI-generated outputs are intended to support delivery teams. They are not a substitute for professional judgement, consultant review, solution architecture review, legal review, security review, or formal project governance.
Users should review outputs before relying on them.
Qavren is designed to support human validation, explainability, and approval workflows.
No autonomous publishing
Qavren does not publish AI-generated delivery outputs into production systems or final delivery repositories without authorised human approval.
Draft requirements, fit-gap outputs, recommendations, and delivery artefacts remain subject to review and approval by the customer’s implementation team.
Data used by AI systems
Qavren may process customer-provided content through AI models and related orchestration services to generate outputs.
Customer project data is processed to provide the Qavren service and is not used to train public AI models unless expressly agreed in writing.
Sensitive information
Customers should not upload sensitive personal data, regulated personal data, confidential third-party data, credentials, payment information, or production secrets unless this has been expressly agreed and appropriate controls are in place.
Accuracy and validation
Qavren aims to improve speed, consistency, and traceability. However, AI-generated outputs may contain errors, omissions, or assumptions.
Users are responsible for reviewing:
- Requirement accuracy.
- Fit-gap classifications.
- Assumptions and dependencies.
- References and supporting evidence.
- Delivery impact and scope decisions.
Logs and auditability
Qavren may maintain logs to support security, troubleshooting, auditability, traceability, and platform improvement.
Retention of logs and customer data is defined in the customer agreement, project agreement, or applicable retention schedule.
Data deletion
Customers may request deletion or return of customer project data in accordance with the applicable agreement, retention policy, and legal requirements.
Sub-processors and service providers
Qavren may use approved infrastructure, cloud, AI, security, and software service providers to deliver the platform.
A list of material service providers or sub-processors can be made available to customers on request where applicable.
